Claim control is the discipline of knowing a file's status, owner, evidence, next action, and next follow-up at every stage.
01
Why restoration files stall
A completed restoration job is not the same as a controlled claim file. Files slow down when documentation arrives in pieces, the carrier scope is never compared to the contractor scope, a supplement is sent without support, or nobody owns the next action.
The solution is not more email. It is a clear operating workflow that turns each active file into a documented sequence of decisions and follow-up dates.
02
The five questions every active file must answer
A visible workflow creates accountability. Before a file is discussed internally or externally, the team should be able to answer these questions immediately:
- What is the current file status?
- Who is responsible for the next action?
- What was the last documented activity?
- What is needed before the file can advance?
- When is the next follow-up due?
03
A controlled path from intake to handoff
A repeatable claim-control process begins with a documentation audit. The team identifies what has been captured, what is missing, and whether the file is ready for estimate preparation or audit. From there, the estimate is built or reviewed, quality checked, and returned for contractor approval before submission.
Once a carrier or TPA response arrives, the comparison should be line-by-line rather than impressionistic. Each difference is either accepted, supported with documentation, revised, or escalated for contractor direction. The objective is a documented scope-and-pricing position, not an endless exchange of messages.
04
Agreement and handoff are separate steps
A phone call can clarify a position, but it should not be the final record of an important scope or pricing agreement. Capture agreement in writing, record the final file position, and hand the work back to the contractor for invoicing, customer balances, collections, and other post-handoff activity.
This boundary lets the restoration contractor remain in control of its business decisions while the claim workflow remains organized and visible.
