Written confirmation is the bridge between a productive conversation and a dependable handoff.
01
A productive call is not a final record
Phone conversations are useful for clarifying questions and moving a discussion forward. But important scope or pricing agreements should be confirmed in writing so the contractor, claim participants, and operations team are working from the same documented position.
02
What the record should clarify
A concise written record should establish:
- The scope or line items addressed
- The agreed or current pricing position
- Any remaining exceptions or conditions
- The relevant estimate version or supporting documents
- Who owns the next post-agreement step
03
Make handoff intentional
Once agreement is documented, hand the file back with a clear summary of the final position. Final invoicing, deductible or customer balances, mortgage-company requirements, collections, accounts receivable, and liens remain contractor-side post-handoff activities.
